Poster Presenter Kit

Congratulations on your invitation to present a poster at the I2SL Annual Conference! This online kit is intended to provide you with all of the logistical information you will need leading up to the event.

  • Accept your invitation to present a poster by Monday, June 10.
  • Register for the conference by Wednesday, July 24.
  • Book your hotel room by Friday, August 23.

Please note that as a poster presenter, you must:

  • Register
  • Pay the registration fee
  • Attend the conference

Important Information for Poster Presenters

Schedule of Important Dates

Monday, June 10 Accept your invitation to present a poster
Wenesday, July 24 (Yes, I2SL is extending the early registration deadline!) Deadline for poster presenter registration.
Friday, August 23 Last day to reserve a room at the Hilton Minneapolis at the group rate.
Friday, August 30 Last day to cancel your conference registration or withdraw as a poster presenter without penalty.
Monday, September 23 Onsite check-in and set up for conference poster presenters (noon to 5 p.m.).
Tuesday, September 24 Opening Plenary Session and the official start of the conference.

 

Poster Presenter Acceptance

Deadline: Monday, June 10

All poster presenters must accept I2SL's invitation to present by replying to the Call for Presenters abstract acceptance email you received from I2SL. This response will confirm your participation in the I2SL Annual Conference.

Poster Presenter Registration

Poster presenters and co-presenters are required to pay the prevailing conference registration rate.

Presenters are also encouraged to sign up for tours or Pre-Conference Training Sessions during registration (additional fees apply).

Accommodations

Each presenter is responsible for making his or her own hotel reservation. We encourage you to stay at the Hilton Minneapolis, where you can get the discounted room rate of $159 per night plus tax, including complimentary in-room internet access. Rooms may sell out in advance of the room block deadline, so we recommend you book your room as soon as possible.

Tips for Creating Your Poster

For the best visual appeal, I2SL suggests that each presenter:

  • Ensure that the poster contains enough information to be clearly understood by a reader with no background knowledge of the project.
  • Include a header with the presentation title and presenter's name, organization, and contact information. Also, provide the full name and affiliation of all co-presenters.
  • Use a minimum letter size of 14-point font. Large point sizes should be used for headings. Please use simple block lettering; avoid script.
  • Use simple figures that can be read easily from several feet away.
  • Arrange poster pieces from top to bottom and left to right, or number poster sheets in the order they should be viewed. Consider using connecting lines (e.g., colored tape) to guide the viewer.

Distribution of Materials

This is a reduced paper conference; however, poster presenters are welcome to bring their own handouts to distribute.

Onsite Logistics

Presenter Check-In Poster presenter check-in will occur on Monday, September 23, from noon to 5 p.m. at the registration table.
Poster Setup

I2SL suggests that all posters be on display by 5 p.m. on Monday, September 23.

  • I2SL will provide each presenter with one poster board that is four feet tall by eight feet wide.
  • Pushpins or Velcro can be used to secure posters to the board.
    • Presenters should bring their own poster-securing materials; I2SL will not provide these on site.
  • Presenters who have been invited to display more than one poster should arrive early, as I2SL will not be able to guarantee two boards next to each other.
Poster Session Hours See the conference agenda for poster session hours. Presenters are encouraged to monitor their posters as time permits, but are not required to do so.
Poster Cleanup

Posters must be removed on Wednesday, September 25, between 1:30 and 5 p.m., after the close of the Technology and Services Fair.

  • Materials not removed by that time will be discarded.

I2SL is not responsible for any materials left behind and will not be able to make arrangements to transport materials to your home or office.

All poster and packaging materials must be prepared in advance. I2SL does not guarantee that supplies will be available on site for this purpose.

 

Promotional Opportunities for Poster Presenters

Want to increase your visibility as a poster presenter before, during, and after conference? The following resources will help you promote your involvement as a presenter:

  • Grant I2SL permission to post your abstract, biography, and/or presentation to the online agenda for attendees to review. If you did not do so when submitting your abstract, contact I2SL to update your information.
  • Contact I2SL at info@i2sl.org for a promotional letter that is designed for you to modify and send to your clients and other contacts to provide them with information about your role at the conference.
